Ok well there have been quite a few offers of help so my first request is, does anyone localish know any local farmers / land owners who would allow us use of a field in or around the area?
I have driven around the area in question a few times but have been unable to make contact with any of them.
Have not decided on a date yet as I am still waiting to hear peoples preferences but am determined to make this a goer.

Pete, just a word of warning about arranging this as a camping/caravanning social.
For a landowner to allow a large group of people (rather than just an individual) to camp on his/her lan, 'normally' there needs to be an 'Exemption Certificate' in place, and this is 'normally' only awarded to whoever is organising the rally (ie a registered caravan/camping organisation). However, a number of campsite owners, do have rally fields which they may be willing rent out for a minimal amount, but normally dont offer your normal facilities ie shower blocks, clubs etc. The rally field will usually have all the necessary permissions in place to allow this to happen and this may be the easiest way of going about this.
A couple of places which may be able to help with this are DEFRA, who will advise on whether an Excemption Certificate is required (excempt from Planning Permision to camp) and one or other of the larger caravanning clubs may be willing to provide some names of site owners who have rally fields. I would try the Caravan Club or the Camping and Caravanning Club who both organise 100's or similar events each year.

or, if it doesnt have to be spring, late June , for the midsummer solstice

summer solstice is 21st June if that makes any difference Pete none of us can commit to this, make plans or anything until you as the organiser post a date and be damned! you cant please all people all of the time, and like Earthy I have stuff booked on particular dates that there's no way of bending from, so maybe the new PA can help find out when the 'venue' has availablility and then just thow a date at us eh?
i certainly will! i have to speak to the "site department" on monday when theyre next open with regards to block bookings / reserving areas! - its a fairly small site 100or so pitches so it may be better for us all if we book the whole place (no chance of interruptions then).
when i speak to them i'll get some dates they have available and report back, with dates figures etc etc.
not sure about being able to book the whole area on the pagan dates - surely as the site is VERY local to one of these areas it will probably have bookings allready, likewise with summer hols and half terms etc.

Beltane is on May 1st.....................a tuesday this year. It might be worth while seeing if the folllowing weekend..........5/6th.......... is available. That is also a Bank Holiday weekend, and would give most people the option of staying for two nights and going home on the monday.
Just a thought.

well as mentioned, having found a most suitable PA, things are moving at a pace, (thanks hun, you really are a star )
I was about to sit and re-write the whole thing when it dawned on me (please note time of posting) that she does it so much better that me :shock:
so i make no apologies for doing a simple cut n paste job (with judicious editing of details) from the latest PM from the PA (don’t u just love in-jargon)
ok here it is, opinions, requests etc and complaints to my PM box please. and remember, contrary to the song, time does NOT go by so slowly, in fact it will be upon us before we know it so get your names down.
I / we will be working on the guest list asap and adding it to the initial post, page 1.
“hi i have had a lovely chat with xxxx in the sites department for the camping and caravanning club which runs the site at xxxxx xxx.
ok - we have 2 options,
there are a total of 56 pitches available for camping, of which they will only allow 25 to be used as a group booking!
however along with the site there is a rally field which can hold a lot more people and is open from the end of march, it means a walk to the showers and toilets but it would mean we are all a little more secluded from the main site and the caravaners.
i mentioned looking at booking 50 pitches, which doesn’t need confirming until 4 weeks before hand - they will get back to us with the max numbers for the rally field soon (site isn’t open for the season yet so no manager there to ask).
they are sending me a booking form, and the party name is Bxxxxxx Txxxxxx (i told them we were having a reunion party from an old theatre group and Bxxxxxxx came to mind with the pagan theme, well with costumes and dressing up i thought it was appropriate lol - less raised eyebrows). and there is a £xx booking fee for group reservations.
now the available weekend discussed has been the 15/16/17 june (2 nights out of the 3 to be arranged), as the bxxxxxxx weekend is a bank holiday and is already very busy. the summer solstice weekend is also very busy with advance bookings.
there isn’t any bbq's or camp-fire areas in the main site but you are allowed to bring your own bbq's and she recommended getting a couple of the old oil drum style ones and building a fire in them as a makeshift camp-fire.
4 weeks before the booking they need full numbers confirmed, and names, then each person will be on the list and can pay when they arrive (arrive before 5pm pls).they also need tent sizes (m2 - so they can check the space they have available! - i would suggest looking in Argos lol and picking something similar and quoting theses sizes).
so to sum up:
rally field 15/16/17 (2 nights to be arranged from the 3)
£xx deposit payable immediately as soon as reservation is sent
4 weeks before confirmation of party number, tent sizes and names
party name provisionally is Bxxxxxx theatre
booking form being sent to me!
